Here’s what to expect when you get started.

 

Step 1: Watch for Your Welcome Email

When your study team adds you to Scout, you’ll receive an email with your login information and a direct link to the Scout Portal.

That email is your starting point. Follow the link, log in, and you’re ready to go.

If you don’t see the message in your inbox, check your spam or junk folder—or contact your site coordinator so they can ask Scout to resend it.

Step 4: Submitting Travel or Reimbursement Requests

When it’s time for your next study visit, use the Scout Portal to let Scout know what you need.

If Scout handles your travel, you’ll enter basic details like dates, destinations, and any travel preferences. A Patient Liaison will follow up quickly to confirm and book your arrangements.

If you’re submitting reimbursements, just upload photos of your receipts and include short notes about what they’re for (for example, “parking at clinic” or “mileage”).

Scout reviews all requests within 24 hours, and you’ll get updates in the Portal and by email.

 

Step 5: Track Your Status

Once your request is in, you can easily track when a request is received, approved, or completed. You’re never left guessing.

You’ll also get automatic emails if Scout needs any extra details or once your payment is processed.
